How to import customers for review invitations

Prepare the supported customer CSV, check duplicates and permission, and preview a ReviewList campaign before sending.

Import a focused list of real customers, not a whole address book. ReviewList validates the CSV and saves a draft before you separately confirm delivery.

Prepare a permitted customer group

Choose a consistent group, such as customers whose orders reached the same completed stage, including imperfect experiences. Confirm contact permission; a CSV export does not establish it. Keep your eligibility notes outside the imported file.

The verified business owner manages campaign recipients. Complete domain ownership verification and open the collection workspace for the intended store. Check the displayed invitation allowance before preparing a large draft. Free currently includes 50 invitations each calendar month in UTC; a file that passes format validation can still exceed the remaining sending allowance.

Use the exact supported columns

The CSV requires an email column and supports optional name and orderReference columns. Use the sample header email, name, orderReference for a straightforward three-column file. Do not add address, payment, product, or marketing-status columns. Each row must have the same number of fields as its header; leave an optional value empty rather than removing a field.

Emails must be valid. Names and order references allow 100 characters, without control characters. Import limits are 1–500 input records and 54,000 CSV characters; they do not increase your invitation allowance. Commas inside values require correctly quoted fields.

Save and inspect the draft

Upload the file or paste its CSV text in the collection area, give the campaign a recognizable name, and confirm contact permission. Saving creates a draft; it does not send email. Email addresses are trimmed and normalized, and duplicate addresses within the input are collapsed. Existing opt-outs for this business remain suppressed rather than becoming new invitations.

Fix validation errors, then inspect the draft’s recipient count, names, references, and message preview. A supplied order reference appears in the request but does not independently prove a purchase. Confirm the message fits the experience you intend to request.

Confirm sending and follow actual outcomes

Confirm the send only after reviewing the draft and remaining allowance. Invitations are queued for bounded delivery, so queued is not the same as sent or delivered. Recent duplicate requests may be skipped. If the workspace reports delivery unavailable, keep the draft and use your public review link in an authorized message instead of repeatedly uploading the same list.

Check failures, bounces, opt-outs, and matched submissions after sending. A customer can ignore the request, and a submitted review still requires moderation before publication. Avoid re-importing a bounced or unsubscribed address to force another attempt. If you cancel a campaign, unsent messages can be stopped; an email already being dispatched cannot be recalled.

Questions and answers

Are name and orderReference required?

No. Email is required; name and orderReference are optional. The three-column sample is convenient, but an email-only CSV is also supported.

Does importing the file send invitations immediately?

No. Importing saves a draft. You inspect the recipients and message, then separately confirm sending. Delivery depends on the available allowance and sending service.

Can I import 500 customers on Free and send to all of them?

The 500-record parser limit is separate from quota. Free currently includes 50 invitations per calendar month in UTC, and the workspace shows your remaining allowance.
